Online Meeting and Webinar Preparation
- Download Zoom — if you already have the platform, ensure you are using the most up-to-date version of the platform.
- Update your display name name in Zoom to show your full name and institution (Ex. Sharon Taylor, Lock Haven University). Watch a short tutorial.
- Update your preferred internet browser (Google Chrome, Safari, Firefox).
- Conduct a system check for Big Marker. Then follow prescribed troubleshooting suggestions from the platform.
Troubleshooting
- For an optimal engagement experience, close other programs and browsers while participating in VCC meetings and webinars
- Optimize your bandwidth by disconnecting other devices from your wireless internet
- If you are using Safari as your internet browser, try Google Chrome or Firefox instead
Virtual Meeting Protocols and Platforms
Breakout Meetings — Zoom (Division I, Division II, Division III, and High School/Club)
- Microphone and video will ON for attendees
- Use the “Raise Hand” function to be acknowledged by the host
- Update your Zoom name to reflect your full name and institution (Ex. Sharon Taylor, Lock Haven University) — this is an important step for engagement and vote tabulation
Collegiate Membership Meeting — Big Marker
- Microphone and video will be OFF for attendees, but can be turned on by an administrator if necessary
- Engage with other attendees in the Chat panel
- Pose questions to the presenters in the Q&A panel
- One vote per institution — designate your institution’s official voter before the meeting
General Membership Meeting — Big Marker
- Microphone and video will be OFF for attendees
- Engage with other attendees in the Chat panel
- Pose questions to the presenters in the Q&A panel
- One vote per member
